What to record

A useful maintenance log is short. Each entry should answer the same questions:

  • Date and mileage or hours
  • Vehicle or equipment ID
  • Work done (oil change, filters, tires, repairs)
  • Who did it and what it cost
  • When the next service is due

One place, one format

Paper in the glovebox and notes on a phone get lost. Pick one format, a spreadsheet or a printed log, and make sure everyone uses it.

Review it on a schedule

Check the log once a month. Look for service that is coming due and for repairs that keep coming back. That makes it easier to plan downtime instead of reacting to breakdowns.
